This Refund Policy governs all payments made to Web Theory in connection with our web design, development, consulting, and related digital services. By engaging our services and submitting payment, you acknowledge that you have read, understood, and agreed to the terms of this Refund Policy.
1. General Policy
All services provided by Web Theory are custom, service-based, and tailored to each client’s individual requirements. Due to the nature of our work, time and resources are allocated immediately upon project commencement. Accordingly, refunds are limited as described below.
2. Deposits and Retainers
All deposits, retainers, and upfront payments are non-refundable. These payments secure scheduling, reserve project capacity, and cover administrative, planning, and onboarding work.
3. Work Commencement
Once a project has commenced, including but not limited to consultation, strategy, research, wireframing, design, development, revisions, content implementation, or project management, all payments made are non-refundable, except where otherwise required by applicable law.
4. Cancellation Before Work Begins
If a client requests cancellation before any substantive work has begun, Web Theory may, at its sole discretion, issue a partial refund of any amount paid in excess of the non-refundable deposit, less any applicable transaction, administrative, or processing fees.
5. Completed, Delivered, or Approved Work
No refunds will be issued for:
completed services
delivered project files
approved designs or concepts
completed website builds
completed revisions
any work that has been accepted, launched, or published by the client
6. Revisions and Scope
Any revisions included in the agreed project scope are considered part of the service delivered and are not separately refundable. Requests outside the original scope of work may be treated as additional services and invoiced accordingly.
7. Client Delays and Non-Responsiveness
If a project is delayed, paused, or otherwise affected by the client’s failure to provide required content, feedback, approvals, or communication for a period exceeding [X] days, Web Theory reserves the right to suspend or close the project. In such cases, all payments made remain non-refundable.
8. Third-Party Services and Expenses
We are not responsible for refunds relating to third-party products or services, including but not limited to:
domain names
web hosting
premium themes
plugins
fonts
stock assets
software subscriptions
any external service providers
Such third-party charges are subject to the respective provider’s own terms and refund policies.
9. Ongoing and Recurring Services
For monthly maintenance, support, care plans, or retainer-based services, cancellation must be submitted in writing at least [X] days prior to the next billing cycle. Fees already paid for an active billing period are non-refundable unless otherwise required by law.

where a refund is required under applicable law
or in exceptional circumstances at our sole discretion
